How it works & common questions

Invoices, quotes, and receipts: when to use each

These three documents record different stages of a transaction:

A worked example

Suppose you repair equipment for a local bakery: 4 hours of diagnostic and repair labor at $85 per hour ($340.00) plus 1 replacement heating element at $120.00. The subtotal is $460.00. For this example, assume the whole order is taxable at a rate you enter of 5%. Tax is $23.00 and the total is $483.00. This is a sample rate, not a state tax rate.

Common mistakes

Always specify exact payment methods and terms (for example: "Net 30, ACH transfer or check"). Leaving off contact details or due dates causes payment delays. The tax rate applies to the entire subtotal after the discount. This tool does not support mixed taxable and exempt lines.

How to use the invoice maker

  1. Choose document type (Invoice, Quote, or Receipt) and fill in your business and client details.
  2. Add your line items, quantities, and prices. Set sales tax or discounts if needed.
  3. Select Print / Save PDF to download your clean PDF or send it to your printer.

All work is processed locally in your browser. We never see your clients, invoices, or revenue. This tool does not send emails or process credit card payments. Keep your own backup copies of important documents.
