Commercial purchasing & vendor order management
Why issued purchase orders protect small businesses
A Purchase Order (PO) is an official commercial document issued by a buyer committing to pay a seller for specific products or services at agreed quantities and prices. When accepted by a vendor, it forms a legally binding contract.
- Price and quantity certainty: Locks in the agreed unit prices, discounts, and item quantities in writing before goods are shipped or billed.
- Three-way matching: Enables your accounts payable team to match the Vendor Invoice against your original Purchase Order and the Receiving / Packing Slip before issuing payment.
- Clear delivery terms: Explicitly specifies the required delivery date, shipping method, destination dock, and payment terms (such as Net 30).
Worked example
Apex Hardware Supply orders 10 boxes of grade 8 cap screws ($65/box), 10 boxes of lock nuts ($48.50/box), and 12 boxes of flat washers ($42.50/box) from a regional fastener distributor. Subtotal equals $1,645.00. Adding 5% sales tax ($82.25) and $40.00 freight brings the binding total to $1,767.25 on Net 30 terms.
Common mistakes to avoid
- Ordering verbally or via informal texts: Verbal orders lead to mismatched quantities, unexpected freight charges, and disputed invoices. Always issue a numbered PO.
- Missing destination details: If your company has multiple warehouses or job sites, clearly state the specific delivery address and receiving dock to prevent misrouted freight.
- Allowing unapproved price increases: Include a note requiring vendor written confirmation if quoted prices, part substitutions, or delivery lead times change prior to shipment.
